This series records the planning and arrangements made by the Federal Capital Commission for the ceremonial opening of Parliament House on 9 May 1927, along with other functions associated with the visit of the Duke of York to Canberra.
The files contain correspondence, cables, schedules, maps, plans, financial statements and estimates etc. This includes planning the reception, accommodation, security, catering, transport, parking, invitations to functions, presentations, opening of Parliament etc.
The series is arranged loosely in an alphabetical cum numerical system. It would appear that subjects were arranged alphabetically from A - Z, then allocated a single running number commencing with Accommodation: public and motor cars being being numbered 1.
However, this seems to have caused problems when a file had to be raised at a later date (i.e. after the number allocation). This problem was overcome by adding an alphabetical suffix - A.B.C. etc, to the single number closest to the alphabetical key-word.
All file covers are blue, printed Federal Capital Commission, with a strip of brown bookbinding tape down the spine. They are slightly larger than file covers normally intended for foolscap papers.
Some files were not included in the series at the time it was transferred to archival custody in 1959. The series was transferred to the Commonwealth National Library - Archives Division as CP698/6 in 3 bundles and converted to the CRS system in August 1986. It is not known if the missing files are extant, however details are noted in the Inventory of Series. The control records were included in the bundles and had been allocated imposed numbers by Archives staff when the series was cleared for public access in 1977. These files (controls) were numbered [65] and [66] and have now been converted to their own respective series.
A further item titled "Royal Visit 1927: Preparation, arrangements etc" was included in bundle 3 and had a red crayon number '64' on the front cover. Investigation revealed this to be a Water Supply and Sewerage Section file from CP 664/1, Miscellaneous papers relating to water supply and sewerage in the A.C.T. The item has been placed in CP664/1 which series will be converted to the CRS system in the future.
